General Summary

The primary function of the Administrative Services Manager A is to plan, organize, implement and coordinate all administrative services and support for the instructional areas of Access Services, ACHIEVE and Community and Employment Services. Exercising independent judgment and decision-making authority.
 
 This position is a classified, non-represented, full-time position, which is eligible for overtime.

Salary Information: The salary range stated above reflects the starting step of Range 46 (Step E) and ending step (Step M) salary for this classified position and includes a 5% King County compensation provision. Based on salary placement of Step E, it will take 4 years to reach Step L on the salary schedule, 10 years to reach step M on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.

Essential Tasks

Reporting to the Director of Accessibility Resources, this position will:

Office Management:

  • Serve as primary point of contact for administrative activities with delegated decision-making authority;
  • Coordinate all administrative support services and office management of the Access Services, Achieve and CES areas including but not limited to; coordinating Outlook calendars and meetings (agendas and minutes), responding to inquiries in person and via phone and/or email (including maintaining the Achieve, CES and Future Launch email accounts), managing office records, managing travel arrangements, monitoring office supply use and needs, preparing and assisting with the development of processes and procedures for the department, preparing and maintaining administrative reports and records;
  • Coordinate contracts, invoicing, billing and payments, prepare and review budget requests as directed by the Associate Dean, Director or Program Manager, prepare cost estimates for equipment and review all resource requests, coordinate with Facilities and IT departments on all space and/or equipment analysis and use needs;
  • Implement institution policies and procedures, as well as those of funding sources including but not limited to King County DDD and Department of Vocational Rehabilitation;
  • Assist with implementation of policies and procedures to meet CARF accreditation standards, as well as those of funders;
  • Assist in formulating general administrative policies of the organization;
  • Assist with development and implementation of procedures to effect new programs or activities in conformance with institution and program sponsor's policies;
  • Assist Director and departmental leadership in the administration of proper personnel practices and procedures;
  • Assist with preparation of grant or contract proposals in compliance with granting agency policies;
  • Review and approve income/expenses, including keeping records of all revenue and expenses;
  • Prepare and review budget requests as directed by Associate Dean and/or Director and provide advice and information;
  • Audit and approve expenditures, requisitions, vouchers, payroll and personnel changes for accuracy and compliance with policies and procedures;
  • Review organization's current needs and programs against budget limitations and recommend appropriate action;
  • Analyze problem areas and make recommendations or assist with implementing corrective action;
  • Prepare cost estimates and projections of future needs and effect proposed actions;
  • Prepare and maintain administrative, business and academic reports and records;
  • Prepare space and equipment analysis and implement maintenance of facilities;
  • Coordinate, edit and create written materials for department as needed;
  • Manage all special projects as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree; AND
  • One year full-time administrative and/or supervisory experience; OR
  • Additional administrative or supervisory experience may substitute, year-for-year, for educational requirements.
PREFERRED QUALIFICATIONS:
  • Experience coordinating and managing projects or programs;
  • Experience working in a college or educational setting;
  • Administrative experience supporting an executive or senior leader.
