Description

The Office for Advancement is seeking Grants Specialist for the Sponsored Projects Office. Under the direction of the Director for the Sponsored Projects Office, this position provides a wide range of key functions necessary to the grants’ development and compliance processes. Responsibilities include assisting with research; preparing budgets; editing components of grant proposals requiring advanced job skills; identifying and contacting appropriate data sources both within and outside the College to obtain supporting data for grant proposals; presenting data in charts or graphic form for use by the Sponsored Projects Office; managing multiple priorities; and planning and organizing to help department meet established deadlines. This position requires well-developed written and verbal communication skills to exchange technical and complex information. The work results of this position impact the accuracy, reliability and acceptability of data used in the College’s grant seeking efforts and in reporting progress to college administration, as well as to state and federal funding agencies. This position may need to work a flexible schedule, including nights, weekends, and extended hours as necessary.

Responsibilities and Duties

  • Assist in researching, analyzing and compiling complex data from a variety of sources in order to help communicate difficult concepts and large amounts of quantifiable data for grant proposals. Data is presented in a variety of formats such as graphs, maps, charts, illustrations, tables, diagrams, flow charts, plain text and other formats as needed.
  • Prepare grant budgets in a variety of formats. 
  • Assist in editing sections of grant proposals such as budget narratives, personnel and college description sections. Draft letters of commitment for use by program directors and external partners. Gather supporting material for grant proposals such as (but not limited to) job descriptions, resumes, maps, organizational charts, bibliographies, tables of contents, budgets and other forms.
  • Prepare summary statements and budget reports for presentation to the SF District Board of Trustees for approval.
  • Maintain the necessary records, files, reports, databases and resource material pertinent to grants office activities to ensure effective Sponsored Projects Office operation and compliance with federal, state and local regulations.
  • Perform a variety of administrative support activities to ensure the Sponsored Projects Office financial, personnel and proposal requirements are met in a timely manner. 
  • Assist in researching funding sources and disseminates information on funding opportunities at weekly Sponsored Projects Office staff meetings.
  • Develop content and assists in implementing and monitoring the Sponsored Projects Office websites. 
  • Review SF’s budget and personnel policies; federal, state and local laws and regulations; and funding agency policies such as National Science Foundation Grant Policy manual to determine how they relate to budgeting for specific grants.
  • Perform other duties as assigned.

Qualifications

Required: Related work experience and/or a combination of completed education equal to six (6) years is required. 

Additional: A criminal background check will be conducted.

Preferred: Experience in the area of grants and contracts development/management is preferred.
