Position Summary

The Accounting Specialist serves as cashier, accounts specialist, switchboard operator and receptionist.

Essential Duties and Responsibilities

  1. Receipts all monies collected and makes daily deposits to the appropriate bank accounts. 
  2. Balances daily cash receipts journal.  
  3. Files business office related documents on a daily basis.
  4. Distributes checks.
  5. Schedules and coordinates surplus property sales as needed. To include preparing items for sale, posting items to Gov.Deals website, coordinating pickup from those awarded bids, and verifying items are removed from Inventory list.  
  6. Sort incoming mail to appropriate individuals/departments.
  7. Responsible for all matters related to the State Bid process. To include, but not limited to: Collecting bid specifications from departments.  Typing bid letters/forms. Submitting Ads for Bids in newspaper(s). Mailing all required information to vendors. Conducting formal Bid Opening; notifying successful Bidder. Collecting required documents from the successful bidder. Coordinating with IT to post Bid Invitations/Results to Dept. of Finance web page. Maintaining an up-to-date list of vendors for bids. Maintaining a file for all bids processed. Verify vendors on disbarment list.
  8. Answer incoming calls and make proper connections with the person or department requested, place calls for staff, take messages.
  9. Serves as college receptionist by greeting and giving information to students, visitors, and college employees.
  10. Review college master calendar.   Process calendar request before forwarding to respective college officials.  Maintain records regarding use of facilities by off-campus groups.
  11. Submits Purchase Orders for Business Office.
  12. Collects Parking Tickets to apply charges to student accounts.
  13. Scans AP Vouchers, Journal Vouchers, Daily Cashier Documents to the BDM Software.
  14. Assists accounts payable with matching invoices to purchase orders.
  15. Assists and provides clerical assistance for Business Office personnel as needed.
  16. Performs other duties as assigned.

  7. Ability to manage loan information in a professional and confidential manner.
  8. Proficient with Word and Excel.
  9. Ability to accurately receipt and account for monies.
  10. Working knowledge of business mathematics and accounting procedures 

Qualifications

REQUIRED QUALIFICATIONS:

Minimum of an Associate’s Degree in Accounting or related field.

Minimum of three years’ accounting related experience.

                             OR

Minimum of a Bachelor’s Degree in Accounting or related field.

Minimum of two years’ accounting related experience.

SALARY:

Salary Schedule E3 04 $38,215 - $53,976, to be determined by the applicant’s education and years of applicable experience. Applicant acknowledges that if selected for the position that applicant’s placement on the applicable salary schedule will be dependent upon the verified information provided.

 Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions.  Responsibility for the management and administration of the TRS is vested in its Board of Control.   The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA.  The TRS is a defined benefit plan qualified under Section 401(a) of the Internal Revenue Code. Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy.  The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.  

Employees/Dependents at two-year colleges:
  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
