Description

Student Life is the hub for students at Santa Fe College. Student Life is comprised of Student Activities, Civic Engagement & Service, Student Government, Leadership Programs, International Student Support & Advising, Student Health Care Center, Student Life Business Office, and Student Life Marketing. Services provided include ID card services, student organization support, Recreation Room, computer lab, Student Life Art Gallery, and the Evening Services Office.

The Student Life Business Office Assistant assists in the management of financial operations associated with the Activity & Service (A&S) Fees budget of $2,200,000. The successful candidate will possess a variety of computer skills, strong organizational skills and a working knowledge of office equipment.    

Responsibilities and Duties

  • Manage and facilitate financial transactions for A&S funded departments outside of Student Life; 11 departments with combined budgets approaching $320,000 and the Student Government budget of $86,000. 
  • Provide support activities for the department such as assisting in the coordination of special events, assisting students, college employees and the public by responding to concerns/inquiries to resolve issues based on established college policies and make appropriate referrals as necessary.
  • Perform tasks as appropriate, assisting staff, faculty, students and/or the public in person or via phone with issues and/or departmental requests.
  • Coordinate all aspects of the Student Life Fleet: 10 Passenger Van, and 7 Passenger Minivan, as well as maintain custody of Student Life Gas cards along with the checkout of keys and cards to authorized persons. 
  • Communicate, collaborate, and maintain relationships with internal and external community constituents.
  • Assist in advising the SG Treasurer, SGP Finance Chair, and SG Finance Committee.
  • Monitor, reconcile, and assist with fiscal administration for the department including, but not limited to, budgets, funding, purchase orders, Pcards, and/or contracts.
  • Facilitate, monitor and/or oversee department purchasing, inventory, and requisitioning of supplies and equipment.
  • Manage and facilitate travel requests funded with A&S Fees as well as travel related payments and reimbursements.
  • Prepare special reports, summaries or replies to inquiries by compiling data and statistics from various departmental resources.
  • Help train other support staff including student employees and volunteers.
  • Assist in scheduling of building and equipment maintenance.
  • Represent Student Life on varied College committees.
  • Attend weekly Student Life staff meetings, weekly Student Life Business Office meetings, and monthly A&S fees budget meetings.
  • Comply with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
  • Provide service excellence through courteous, informed, accessible, and professional engagement.
  • Perform other duties as assigned.
Reports to: Business Manager, Student Life

Qualifications

Required:  Associate degree and two years of related work experience or a combination of completed education and/or related work experience equal to four years.  
Additional Requirements:  A criminal background check will be conducted.
Preferred:  Bachelor’s degree and at least one year of customer service experience preferred.
