Description

Edison State Community College invites qualified candidates to apply for the benefit eligible position of Academic Project and Campus Specialist (APS).  The Academic Project and Campus Specialist (APS) will manage various projects, coordinate processes, and provide administrative support for the programs and students at the Troy Campus. This position will be housed at the Edison State Troy Campus and will provide support to both Edison State and Franklin University.  The incumbent will be familiar with policies, procedures, programming, and services of both institutions. The APS is required to work with minimal supervision and is expected to keep a level of confidentiality regarding all information from the students and programs. This is a 34-40 hour, benefit eligible position requiring early-evening hours 2 days each week.

Examples of Duties

Functional Responsibilities:

Student and Campus Support:

  • Serves as the primary contact for students and outside contacts for the programs at the campus.
  • Is knowledgeable of the programs at the campus and their requirements and provides information about Edison State and Franklin University, their programs, admissions procedures, and financial aid as appropriate.  
  • When assigned front-desk duties (approximately ½ time), serves as first point of contact for walk-in clients and phone calls into the campus.
  • Provides customer support to faculty/students and works with the faculty and staff to resolve issues.

Equipment/Purchasing:

  • Purchases equipment, services and supplies for the academic programs as requested by the faculty and as approved by the Dean.  
  • The APS must be familiar with the use of Colleague, Blackboard, and other campus systems to complete processes and obtain information as required for the position.

Program/Process Support:

  • Coordinates meetings of program-related committees.
  • Works with faculty and the Dean to maintain curriculum forms and proposals.
  • Assists in the preparation of term schedules, student registration, orientations, and maintenance of student records.
  • Manages scheduling for rental to outside parties.
  • Administer and/or supervise placement testing and other internal/external proctored tests.
  • Assists in updating public information regarding the programs including student handbooks, the website and program publications.
  • Assists with student admissions and registration processes including registration, applicant tracking, providing information, collecting and managing documentation, and outreach campaigns to notify students of admissions processes, decisions, and records requirements.
  • Maintains student records as needed to meet program accreditation requirements.
  • Assists in the preparation of documents and reports for accreditation processes.
  • Coordinates student, graduate, and employer surveys.
  • Maintains student faculty and staff training records as required to support the programs.
  • Assists in the collection and receipt of fees from students and provide reports to the business office as needed.
External Agreements:
  • Uses templates provided to prepare clinical agency agreements.  
  • Manages records on program agreements and maintains files of that documentation.
Work Schedule:
  • Perform APS duties at the Troy campus on a schedule developed in association with the faculty, the Dean, Campus Site Manager and the Director.
Other as assigned:
  • Provide support and assistance to the other APSs, the Dean, the Troy Campus Site Manager, and the Director of Regional Campus Enrollment Management & Student Services.
  • Other duties/projects as assigned by the Dean.

Experience with administrative computing systems, word processing, spreadsheets, and course management software is preferred.  Edison State currently uses Microsoft Office, Colleague, and Blackboard.

Required Experience:
1 - 3 years office experience required.

Preferred Experience:
Prior experience with Ellucian Colleague is software is preferred but not required.

Required Educational Background:
Associate degree and/or equivalent education/work experience required.

Student workers when assigned.


The following benefits are available to full-time Classified employees.  Employees working less than thirty hours a week (1560 hours per year) are ineligible for health and life insurance benefits, as well as an alternative retirement option.

Retirement Benefits
Edison State Community College participates in the Ohio Public Employee Retirement System (OPERS).
Based upon the Ohio Revised Code, 10% of an Edison State employee's gross salary is deposited into their individual OPERS account.  The college contributes an additional 14% which is not figured into the employee's base salary.   

An option for an alternate retirement plan is also available for full-time employees.  Employee and employer contributions would be the same as above.

Vacation
Classified employees receive 2 weeks of vacation each year which begins accruing on the employee's first pay period.  After five years of employment with Edison State the classified employee will receive 3 weeks each year, after ten years this increases to 3.5 weeks, after fifteen years of service they will receive 4 weeks of vacation, after twenty years they will receive 4.5 weeks and this once again increases to 5 weeks after twenty-five years of employment with the college.


Sick Leave
Edison State employees receive 3 weeks of sick leave each year which begins accruing on the employees first pay period.

Holiday Pay
At the start of their employment employees are eligible to receive pay for the 11 holidays for which the campus is closed.

Tuition Waiver
Edison State employees receive 100% of their instructional fees waived for any Edison State courses they take.  
Dependents (spouse or children) of full time Edison State employees receive the same 100% waiver for Edison State course instructional fees and dependents of part time employees receive a partial waiver.

Tuition Reimbursement
Edison State offers partial tuition reimbursement for continued education.

Health Club Contribution
Edison State will pay a portion of an employee's yearly premiums for a health club membership.  Memberships to some local YMCA organizations can be payroll deducted.

The college also provides an on-site fitness center to employees, students and the community at no charge.
