Position Summary

The Grants Management Assistant will be the primary support for the Tier 1 grant program and process improvement related to communication with potential and existing awardees through the grant management system and website. This permanent full-time position supports the grant management process, including grant awards, payments, applicant inquiries, and related reports for the Program Team, Leadership Team, and the Board of Directors. Operating in a high-transaction environment, the Grants Assistant will be responsible for meeting established deadlines and producing accurate, high-quality products consistently.

The Grants Management Assistant will work closely with the Grants Manager and other program staff to learn and support the various aspects of the grant-making cycle: pre-award, post-award, and system management. Duties will include working directly with the program staff on the intake and review of grant requests, administering grant awards, and providing support to the Grants Manager and Program Officers on Foundation grants.

Essential Duties and Responsibilities

Grant Management & Reporting

• Provide support for the Foundation’s grant programs, assisting Grant Manager with processing grant applications, drafting award letters, monitoring grant requirements, and processing payment requests.

• Assist with monitoring reporting schedules, payments, deadlines, and requirements, with accurate tracking of electronic and paper files.

• Primary responsibility for Tier 1 grant program intake, award, letters, payment, and reporting.

• Work closely with the Accounting department to ensure payments are timely and accurate. Grants Management Assistant – February 2023 2

• Provide ad hoc grant reporting and research as needed using grant management database, Excel tables and charts, and Word.

• Work collaboratively with other members of the Foundation staff on all program related matters.

• Represent the Foundation at meetings, as needed.

• Other tasks as assigned to support the Foundation.

Communication

• Communicate with respect, professionalism, and confidentiality when dealing with Foundation, personnel, applicant, and grantee information.

• Assist prospective and current grantees with technical assistance to navigate the grants management system, gather information, submit applications and reports, and request extensions.

• Assess and improve online communication with applicants and grantees through the grant management system and website.

• Perform systematic review of communication materials with applicants and grantees and provide recommendations for improvement and implementation as needed.

• Communicate with program and finance staff, grantees, and applicants for concise and uniform grants administration policies and procedures.

• Produce letters, emails, and reports that are professional and accurate.

Education, Experience, and Skills Requirements

• Bachelor’s degree preferred.

• Prior experience in the nonprofit or government sectors preferred or volunteer experience in the sector(s).

• Preference for applicants with contract or grant management experience. Practical accounting experience is a plus.

• Strong aptitude for learning new and specialized software programs. Familiarity with database systems is a plus.

• Highly proficient with Microsoft Office programs, including Word (templates and mail merge), Excel (creating tables, charts, and graphs), Outlook, Teams, and SharePoint.

• Excellent written and oral communication skills.

• Ability to work independently and simultaneously on multiple projects with close, overlapping, and/or conflicting deadlines.

• Attention to detail with a high level of accuracy.

• Cultural competency and prior experience working with Alaska’s diverse stakeholders.

• Strong organizational skills.

• The ability to remain flexible and adapt to a changing environment.
