We have an exciting opportunity for an Executive Assistant to the Superintendent President & Board of Trustees located District-wide. Under direction from the Superintendent/President, the Executive Assistant to the Superintendent President & Board of Trustees, provides a variety of responsible, confidential, and complex administrative duties for of the Superintendent/President’s Office by overseeing proper functioning of all administrative activities, including coordination of communication for the Office.  The Executive Assistant to the Superintendent President & Board of Trustees is a professional, exempt position which provides support functions for the Superintendent/President and Board of Trustees not available elsewhere in the institution.  The Executive Assistant to the Superintendent President & Board of Trustees serves as liaison for all communications between the Superintendent/President and other individuals and groups, which may include District personnel, the Board of Trustees, students, legislators and the community at large.   The Executive Assistant to the Superintendent President & Board of Trustees provides staff support services to the Superintendent/President in the areas of research, organizational development, administrative coordination, writing and public relations. The Executive Assistant to the Superintendent President & Board of Trustees keeps official institutional records and executes administrative policies determined by or in conjunction with the Superintendent/President and Board as well as all local, state, federal and educational mandates.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The duties listed below are intended as illustrations of the various types of work that may be performed.  The omission of specific statements of duties does not exclude them from the position if the work is similar, related or logical assignment to this class.

  • Organize, manage, and coordinate the President’s Office assuring efficiency of the office operations and staff.
  • Interpret policies, rules and regulations and operational procedures to the Board of Trustees, staff and members of the public, investigating and recommending alternative solutions to complaints and expressed problems.
  • Serve as primary administrative support and personal assistant to the Superintendent/ President
  • Provide oversight and follow-up on all materials from all segments of the District to the Board of Trustees
  • Work on special projects in response to needs as assigned by the Superintendent/ President
  • Manage the coordination of programs, services and public functions of the Office of Superintendent/President  
  • Provide research and support associated with the planning, implementation, outreach, organization and compliance tasks for the Superintendent/President, Executive Cabinet, and the Board of Trustees, as they work to accomplish institutional goals, Board of Trustees goals and the Superintendent/President and Executive Cabinet goals
  • Schedule appointments and organize the Superintendent/President’s calendar, including meetings with senior staff members, students, staff, managers, college leadership groups and community representatives 
  • Prepare and maintain daily and weekly calendars and the schedule of appointments 
  • Assemble required background materials and information for meetings and appointments 
  • Research and compile data in response to requests from staff, community organizations and state and local agencies 
  • Coordinate visits with legislative and congressional representatives, Board of Governors and the Chancellor’s Office 
  • Coordinate travel arrangements and reservations for attendance at statewide and national conferences; prepares conference authorization and expense reimbursement claims 
  • Coordinate social and community receptions, both on campus and in the community
  • Serve as liaison between Superintendent/President, District personnel, students and members of public; conducts initial interviews in person or on telephone with District personnel, students and the public, and either answers questions, refers to an appropriate staff member, or makes appointment with the Superintendent/President; receives complaints and takes action when possible or refer matters to appropriate personnel to be resolved. 
  • Compile and write reports and bulletins in accordance with written or oral instructions.
  • Maintain special confidential correspondence and administrative files 
  • Research and compile data in response to inquiries from community organizations, elected officials, state and national organizations; establishes procedures for, and supervises the operation of all documents processed through the Superintendent/President’s office; establishes procedures for effective records management; edits and proofreads letters, reports and memoranda  
  • Monitor and maintain assigned budget(s) 
  • Respond to routine correspondence by independently composing letters and memoranda
  • Maintain complex interrelated files; inputs, maintain and retrieve electronic file of college constituencies for correspondence, mailings and reports; prepare and retrieve electronic mail messages for Superintendent/President
  • Perform other duties as assigned

 

 

KNOWLEDGE, SKILLS AND ABILITIES:

 

The incumbent must possess knowledge of:

 

  • Knowledge of, and clearly understand, rules governing community college services, including the accreditation process, shared governance, AB1725, the Brown Act, the state education code as it pertains to community colleges, and possess a general awareness of issues affecting higher education.   
  • Communication and writing forms, including correspondence and research/report styles. 
  • Computerized information management systems. 
  • Management methods; and knowledge of the conference/travel industry.  

 

The incumbent must possess skills in:

 

  • Clear, concise communications, both oral and written. 
  • Coordination and reporting. 
  • Using Microsoft Office Suite, desktop publishing programs, and network office management software packages. 

 

The incumbent must possess an ability to:

 

  • Manage and support the operations of an executive office and maintain confidentiality and integrity expected of the Superintendent/President’s Office staff across multiple campus offices. 
  • Exercise strategic planning skills to support the District Superintendent/President on a myriad of issues and topics. 
  • Exercise sound judgment in representing the Superintendent/President in compliance with District standards, guidelines, practices, protocols, and policies.
  • Monitor and meet deadlines. 
  • Work under scrutiny from a variety of constituents. 
  • Coordinate several large projects and calendars simultaneously. 
  • Develop standards and new business processes. 
  • Maintain positive and productive working relationships with faculty, staff, board members and the community at large.   

QUALIFICATIONS AND REQUIREMENTS

MINIMUM QUALIFICATIONS:

  1. A Bachelor’s degree (attach transcripts); AND
  2. Minimum of four (4) years of increasingly responsible, administrative experience involving a high level of public contact providing administrative support to a senior executive level position; INCLUDING
    • Two (2) years of professional experience in administrative coordination, organizational development, and public relations; AND
  3. Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

CONDITIONS OF EMPLOYMENT  

Initial salary placement for this position is from Step 1 to Step 3 depending on the amount of reasonably related experience. The job is a Confidential position, Level 36, working full time, 40 hours per week, 12 months. The position serves District-Wide; applicants may be assigned to any district facility. The current work schedule: 7:30 am - 5:00 pm Monday - Thursday; 8:00 am - 12:00 pm Friday. Work hours are subject to change depending on department needs. 

 

A twelve-month probationary period must be successfully completed before the selected candidate is considered a permanent employee of the District. The District provides a contribution towards medical, dental, vision, and life insurance. Vacation and sick leave are provided. PERS participation is required for retirement eligible employees. As a condition of employment candidates will be required to complete a live scan for fingerprint clearance and a Tuberculosis (TB) test/Tuberculosis Risk Assessment form developed by the State Department of Public Health. Candidates must have an insurable driver’s record.

THE COMMUNITY

The area provides a diverse geography that includes recreational lakes, mountains, desert and wide-open spaces.  MSJC is located about 100 miles southeast of Los Angeles and 50 miles west of Palm Springs.  There is freeway access to ocean beaches, skiing and cultural offerings in San Diego, Los Angeles and Orange County. Weekend recreational opportunities are a few hours away in Las Vegas, Arizona and nearby mountain resorts.  Local theater productions and art galleries provide year-round entertainment, including the famous Ramona Festival and Pageant.
