THE POSITION: This is the journey level in the Legal Procedures Clerk series, characterized by the responsibility for the preparation, processing and recording of legal and other official documents such as court actions, subpoenas, criminal warrants, legal descriptions and official notices. It is distinguished from the Legal Procedures Clerk, Senior in that the latter has lead responsibility for a document processing unit. This position is will be used in the District Attorney’s Office, Sheriff’s Department and/or Probation. Positions within the Sheriff’s Department may require shift work.

Examples of Duties / Knowledge & Skills

TYPICAL DUTIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING: Clerical activities associated with processing and recording official documents. Examines documents and/or applications for sufficiency, completeness, conformity or validity; edits corrects errors and posts correct information; reconciles automated and manual records. Calendars cases and/or maintains schedule for court appearances. Assists the public either on the phone or over the counter in filling out or using forms. Responds to verbal and written queries from the public (including legal representatives) regarding action taken on submitted legal documents. Prepares document files. Assigns identification codes. Verifies updates, enters, and retrieves information into manual and/or automated information storage system. Computes, receives, classifies, and posts fees. Notifies other law enforcement agencies of arrests or receipt of bail.

Minimum qualifications & Requirements

1. High school diploma or GED AND

2. Six (6) months of full-time directly related work experience similar to below listed typical duties AND

3. A minimum corrected keyboarding (typing) certificate showing speed at NET (after errors) 40 WPM. All candidates must submit verification of their keyboarding at time of resume submission. A three or five minute timed test with the gross number of words typed per minute, the number of errors, and a signature by the examiner is required. The certificate must not be more than a year old at time of application. THIS CAN BE OBTAINED AT MOST TEMPORARY STAFFING AGENCY.

THE KEYBOARDING CERTIFICATE MUST BE SUBMITTED TO THE DEPARTMENT OF HUMAN RESOURCES no later than five days of the final filing date (04/07/2006). FAILURE TO SUBMIT THE REQUIRED CERTIFICATES WILL RESULT IN IMMEDIATE DISQUALIFICATION FROM FURTHER CONSIDERATION IN THE RECRUITMENT PROCESS. EACH CERTIFICATE CANNOT BE MORE THAN TWELVE (12) MONTHS OLD AT THE TIME OF APPLICATION, MUST BE FROM AN ACCREDITED SCHOOL OR OTHER AGENCY AND INCLUDE TESTING AGENCY NAME, DATE TESTED AND EXAMINER’S SIGNATURE.

OTHER REQUIREMENTS: May need to obtain CLETS training and authorization.
