Position Summary

The Student Services Assistant provides reception, clerical assistance and administrative support for the departmental operations of Student Services/Office of the Registrar. The Assistant will assist students, faculty, staff with various duties and responsibilities associated with post-secondary education. This position will be responsible for conveying information regarding department functions and procedure ensuring efficient operations.

Essential Duties and Responsibilities

1. Performs general secretarial/clerical duties including, but not limited to, receptionist duties, keyboarding, filing, copying, and other office operations in fast-paced environment. 
2. Provides optimal customer service including, but not limited to, courteous and responsive written and verbal communication.
3. Assists students, faculty, staff, and visitors.
4. Provides information relative to scheduled courses, curriculums, calendar of events, college policies and rules and regulations as it relates to Student Services/Registrar’s Office.
5. Assists students with registrations and withdrawals via self-service.
6. Maintains academic records and assist in the preparation of various student services and reports as assigned.
7. Processes transcript requests via Parchment.
8. Processes enrollment verifications.
9. Processes no-show appeals.
10. Assists with imaging records into BDMS.
11. Assist with graduation ceremony annually.
12. Assists with student activities and student clubs and organizations as requested.
13. Responds to a wide variety of inquiries from internal and external parties (staff, faculty, students, parents, and public agencies for the purpose of providing information, facilitating communication among parties and/or providing direction.
14. Assists with other student services and records functions in the Student Services/Registrar’s Office. 
15. Monitors calendar and e-mail to assist supervisor with appointments, due dates and timelines. 
16. Assists in planning and organizing meetings and workshops as assigned. 
17. Maintains and safeguards the confidentiality of documents, general files, and other pertinent information. 
18. Organizes and maintains a filing system for office records as appropriate. 
19. Processes and disseminates incoming mail as appropriate. 
20. Maintains an inventory of office supplies, forms, equipment, etc., and prepare requisitions as needed. 
21. Prepares requisitions for purchase order generation for the procurement of materials and supplies. 
22. Serves on college committees as assigned. 
23. Performs other job-related duties as assigned.

Qualifications

1. Associate’s Degree from a regionally accredited college or institution is required. 
2. Two (2) years of experience working in a fast-paced office setting is required; education environment preferred. 
3. Proficiency in Microsoft Word, Excel and Outlook is required.
 4. Effective oral and written communication skills is required. 
5. Ability to multi-task, prioritize objectives and demonstrate good time-management skills is required. 
6. Ability to problem solve is required. 
7. Excellent organizational skills is required. 
8. Ability to work collaboratively and independently is required. 
9. Experience in dealing with sensitive and personal information is required. 
10. Experience with Ellucian Banner 9 or other Enterprise Resource Planning software is preferred.

 Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions.  Responsibility for the management and administration of the TRS is vested in its Board of Control.   The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA.  The TRS is a defined benefit plan qualified under Section 401(a) of the Internal Revenue Code. Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy.  The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.  

Employees/Dependents at two-year colleges:
  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
