Position Description

DEFINITION: 

This position greets visitors to the Student Services offices at the CFCC North Campus in Castle Hayne, NC. Acts as a primary point of contact for students and assists with processing admissions and registration related documents. Answers questions related to admissions, registration, testing, advising, counseling, financial aid, and other Student Services. Coordinates with student services areas to facilitate the consistent delivery of admissions and registration services. Refers students to appropriate college resources. Provides general information and assistance to students and the public regarding college policies and procedures. 

 

SUPERVISION RECEIVED AND EXERCISED:

Receives general supervision from Director of Admissions

Exercises no supervision.

Duties & Responsibilities (Essential Functions)

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

  • Act as a receptionist for all visitors to the Student Services area
  • Respond to internal and external customer requests via phone, email, and in-person
  • Provide routine information and give directions
  • Provide clerical support to the staff within the department
  • Coordinate and monitor staff scheduling, coverage, and needs in conjunction with the staff member’s supervisor within the Student Services department at North Campus
  • Monitor Admissions and other departmental email accounts (as necessary) and respond to inquiries
  • Verify, review and process forms and other documents received or requested at the Student Services counter for completeness and conformance with established regulations and procedures
  • Process correspondence in relation to Student Services 
  • Process change of student information requests 
  • Assist with sorting incoming and outgoing mail at North Campus for Student Services  
  • Provide assistance and complete tasks related to campus tours, outreach events, and CRM data entry
  • Provide supervision and mentoring to workstudy students and/or student ambassadors, as necessary

 

Other Important Functions:

  • Participate actively in departmental staff meetings
  • Assist with other duties and special projects as assigned such as Open House events and Graduation
  • Occasional weekend or evening work may be required
  • May participate on various college committees and other institutional activities
  • Assist with the student registration process as necessary prior to each college semester
  • Assist staff and students with various support tasks including accessing computerized information
  • Perform other related duties and responsibilities as assigned

Qualifications

QUALIFICATIONS:

Knowledge of:

  • FERPA law
  • Microsoft Office software including Word and Excel.
  • Principles and procedures of record keeping.
  • Excellent spelling, grammar and punctuation skills.
  • Modern office procedures, methods and computer equipment.

 

Ability To:

  • Provide exceptional customer service
  • Interpret and apply the policies and procedures of the function to which assigned.
  • Multi-task while working in a high-traffic area.
  • Work independently in the absence of supervision.
  • Establish and maintain cooperative working relationships with those contacted in the course of work

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

 

Minimum Education/Training:

  • High school diploma.

 

Minimum Experience:

  • None

 

Preferred Education/Training, Experience, Skills:

  • Associate degree preferred.

  • At least one year relevant experience working in an educational environment

  • Experience in higher education student services is preferred.
