Under supervision of the College Registrar, directs, manages, and oversees various aspects of the student records and course scheduling provided by the College. Coordinates these activities with other campus departments, transfer destinations, and outside agencies. Provides highly responsible and complex administrative support to the College Registrar.


SUPERVISION RECEIVED AND EXERCISED


Receives administrative direction from the College Registrar. Receives indirect supervision from the Dean of Enrollment Management.


Exercises indirect supervision over Student Records staff. Exercises indirect supervision over Operations Center staff.

EXAMPLES OF IMPORTANT RESPONSIBILITIES AND DUTIES


In consultation with the College Registrar, develops and documents procedures that will ensure all services in Student Records are provided in a timely and appropriate manner including, but not limited to, the following: transcript evaluation, application processing, permanent student record maintenance, final grading, verification of program graduation requirements, course setup, course scheduling, and registration setup and processing.


Selects, trains, motivates, and evaluates staff; provides or coordinates in-service training for staff.


Coordinates services with other campus departments, transfer destinations, and outside agencies.


Represents Student Records on various College councils and committees.


Assists with annual assessment of Student Records functions in accordance with the College’s regional accrediting body; organizes staff to develop, monitor, gather data for, and analyze appropriate performance metrics; assists with the preparation and presentation of reports and other necessary correspondence demonstrating compliance with College, System, and regional accrediting body policies and procedures, as well as any other pertinent state and federal guidelines.


Attends and participates in professional group meetings and conferences and stays abreast of new trends and innovations in the field of Student Records.


Provides responsible staff assistance to the College Registrar.


Performs other duties, as assigned.

Qualifications

Education:
 
A Master’s degree (or higher) from an accredited college or university is required. Degrees in administration, organizational leadership, and/or education are preferred. Formal leadership training is preferred.

Experience:
 
At least three years of experience with any of the Student Records functions mentioned in the job description is required. Experience across multiple areas is a plus. Candidates should provide evidence of leadership abilities in planning, coordinating, and implementing a college-wide project (or its equivalent in another capacity); display effective oral and written communication skills; and demonstrate strong organizational and conflict-management skills.
 
Knowledge of:
 

  • Community college mission, policies, and procedures.
  • Community college student records services.
  • Curriculum program of study requirements/standards.
  • Principles and practices of budget preparation and administration.
  • Basic data analysis, statistics, and reporting skills.
  • Database fundamentals and certain computer application (spreadsheet, word processing) fundamentals.
  • Principles of supervision, training, and performance evaluation.
  • Pertinent federal, state, and local laws, codes, and regulations.
  • Strategies and techniques for establishing accountability.
 
Ability to:

  • Provide leadership to areas of responsibility.
  • Manage and coordinate the work of subordinate staff.
  • Select, supervise, train, and evaluate staff.
  • Handle conflict in a professional manner.
  • Interpret and explain College policies and procedures.
  • Communicate clearly and concisely, both orally and in writing.

  • Effectively handle a work environment and conditions which involve periodically working irregular hours.

Environmental Conditions:
 
The majority of work is conducted in an office environment. The position may periodically require work at irregular hours, including nights and weekends.
 
The worker is required to have close visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer screen, and/or extensive reading.
 
Physical Conditions:
 
Essential and other important responsibilities and duties may require maintaining physical condition necessary for walking, standing, or sitting for prolonged periods of time.
