Position Summary

The Coordinator of the University Center (UC) at MCC assists the Executive Director of the UC with day-to-day responsibilities and facilitation of the UC in Woodstock. The Coordinator will work collaboratively with partners on the recruitment, marketing, and transfer processes for the UC. This role will collect, maintain, and manage UC data and will provide college leadership with timely reports. This position will be responsible for regular outreach to UC inquiries including attendance at UC events at the Center, at MCC, and off-site. The Coordinator of the UC at MCC enjoys working with transfer students and will be familiar with the challenges and barriers that community college graduates face in transferring to 4-year institutions. 

Essential Job Functions and Responsibilities

  • Ongoing student recruitment for the University Center (UC). Facilitates systematic communication and follow-up to prospective students, applicants and admitted students  
  • Organization of informational sessions. Coordinates internal logistical arrangements for UC-sponsored or college-sponsored events, UC tours, and represents the UC at recruitment events 
  • Utilizes the CRM to maintain and manage data on University Center students. Prepares timely and comprehensive recruitment and enrollment reports for the Executive Director of the UC  
  • Coordinates with the Executive Director of the UC and the Office of Marketing and Public Relations (OMPR) on the development and distribution of marketing materials such as brochures, website, flyers, etc.  
  • Maintains accurate and detailed calendar of events, due dates, and schedules as they relate to UC functions
  • Provide daily direction for UC at MCC staff and student employees to maintain the smooth operation of the programs at the Center
  • Provides operational and administrative support to the University Center team and partners. This includes front desk coverage of the UC at MCC in Woodstock (days, nights, weekends as needed) to greet guests, assist walk-ins, answer and direct phone calls, and help students, faculty and staff at the Center
  • Attends University Center partner meetings and workshops  
  • Attend as the UC at MCC representative:  Chamber meetings, organization meetings, committee meetings, conferences, seminars, and functions as needed to maintain positive relationships and to keep current with local business and industry needs
  • Works with academic affairs, student affairs, and relevant MCC departments to identify student needs and barriers to transfer 
  • Connects students to resources to help them overcome barriers and ensure the successful transition from associates to baccalaureate  
  • Ensures that students have an early and ongoing understanding of the application and admission processes for each of the UC’s programs/partners so they can identify the pathway that best fits with their aspirations and interests 
  • Assists the Executive Director of the UC in communications with advisors and transcript evaluators from partner institutions to ensure University Center students have met transfer requirements  
  • Reports to Executive Director on any updates needed for 2+2, 3+1, 1+1+2 and other transfer agreements noticed while working with students and partners 
  • Tracks existing financial aid consortium agreements that are in progress and creates timely reports 
  • Assist the Executive Director of the UC in tracking the program’s budget expenditures; assist in the preparation of official documents related to budget and program performance 
  • Maintains inventory of office supplies and equipment; organizes supplies for storage and/or distribution; Orders supplies, recruitment materials, equipment and services for the UC as needed 
  • Works collaboratively with appropriate MCC departments to effectively create, process and complete requisitions, purchase orders, invoices, POP forms. Tracking and follow up, as needed, with financial transactions and contracts
  • Represents the University Center at internal and external meetings and events, conferences, district high school events/college fairs and at other transfer activities 
  • Participates in committees, meetings, and professional development opportunities as assigned 
  • Handle sensitive and/or confidential documents and information where judgment and discretion are essential and ensure confidentiality of all program records and other sensitive information 
  • Assumes additional duties as assigned by immediate supervisor

Required Qualifications

  • Bachelor’s degree from a regionally accredited institution 
  • A minimum of 3 years of experience in higher education with specific experience in recruitment or academic advising and academic transfer 
  • Current valid driver’s license and the ability to travel to various locations for recruiting and community events 
  • Ability to work flexible hours including evenings and weekends
