Description

Under general supervision, performs responsible and varied administrative assistant work that permits some choice of procedures and some independence of actions in the disposition of routine matters, as it relates to Adult and Community Education.

Examples of Duties

A. Performs customer service duties; answers telephone, greets visitors, arranges appointments, and directs telephone and personal callers to proper parties; coordinates room reservations and related activities; and may disseminate department or institution information.

B. Works with departmental coordinator, instructors, and other departments to ensure that Adult Education students have ID’s and setting up for sub appointments or facilities cancelation of class, if any instructor is unable to cover their class.  May also assist coordinator with orientations.  May work alternate hours to ensure that evening students have the same access as daytime students.  

C. Assists Coordinator with Data System (DAISI) for the Adult and Community Education Division while developing and submitting customized DAISI reports as requested Illinois Community College Board quarterly.  

D. Demonstrates a working knowledge of data processing, database software programs, and other computer software programs as required; monitors and updates computerized program records; develops and maintains comprehensive computer records system, as requested.

E. Works with the department and human resources to ensure effective and timely payroll processes for the AE instructors and approves instructor timesheets.
 
F. Updates yearly term fliers, emergency call list, and the Adult Education calendars to all the instructors and staff through Outlook.  Makes all appointments and continues to update call sheets with instructor/staff phone numbers, may collaborate with department and marketing to update departmental social media accounts.  

G. Takes and transcribes dictation, minutes of meetings, and possibly testimony at hearings for Area Planning Council, Staff meetings, and Adult Education In-service and random meetings.

H. Responsible for best cost research, inventory, and office supplies, furniture, and various site supplies; receiving of materials and distribution to outside locations.

I. Attends appropriate Daisi and AE professional development.

J. Prepares correspondence, records, reports, lists, forms, tables, and graphs, independently and based on brief notes and executes related clerical responsibilities.  

K. Initiates Work Orders for repairs, furniture moves, and other through the School Dude online program as directed.

Minimum Qualifications

A. High school diploma or equivalent with ability to read, write, perform basic arithmetic, and follow verbal and written instructions required; additional specialized and technical training courses preferred.

B. At least one to three years of related work experience required.  

C. Computer experience using Microsoft Office or comparable applications required.  Able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets; able to merge documents; able to create and use labels with envelopes; able to create, format, and edit tables, graphs, and charts.  

D. Excellent oral and written communication skills required.  

E. Demonstrated proficiency in English required.  

F. Proficiency with multiple forms of social media desirable.  

G. Ability to communicate in other languages desirable.

Supplemental Information

Hourly rate of pay begins at $13.94/hr. and may increase with education and experience.
